UKG launches AI payroll tool to cut payment errors

UKG has launched an AI-based payroll product, UKG Pro Pay with Workforce AI, aimed at payroll teams managing complex pay processes.

The product embeds AI tools in payroll workflows so administrators can spot and address issues before employees are paid. It combines automation with conversational interfaces to review payroll data, analyse variances, and help correct payslip errors.

Payroll complexity

The launch addresses a persistent challenge for employers with large frontline and hourly workforces, where pay can vary widely because of shifts, rates, job codes, tax deductions, and benefits. Errors in those areas can damage employee trust and create extra manual work for payroll teams.

A central feature compares current payroll runs with up to five years of historical payroll data to identify anomalies. The aim is to flag unusual patterns early enough for payroll teams to intervene before mistakes reach employees.

Another feature lets users audit payrolls and investigate issues through natural-language prompts. This is intended to reduce reliance on reports and manual analysis by allowing payroll staff to ask questions in plain language and receive guidance on likely root causes.

The product also includes a conversational tool for correcting employee payslips when issues are detected. A separate administration workspace supports payroll staff across the wider processing cycle, including review and approval steps.

According to UKG, the software can reduce payroll processing times from days to hours when its auditing, analyst, and anomaly-detection functions are used together. Human oversight remains part of the process through built-in review and approval points.

UKG linked the launch to what it describes as payroll leakage, or recurring unintended losses tied to payroll operations. Citing research conducted with KPMG, it said organisations lose between 2% and 4% of total labour spend to such leakage.

The research also found that even 1% of wasteful payroll spending can amount to USD $15 million in losses for a large enterprise. The figures underline why payroll accuracy has become a growing focus for employers facing pressure on labour costs and retention.

For businesses with large shift-based operations, payroll is often one of the most complicated administrative functions. Different hours, overtime rules, local labour regulations, and deductions can combine in ways that make errors more likely, particularly when systems rely on fragmented workflows.

UKG said the product is intended to move payroll away from that fragmented model by bringing detection, analysis, and issue resolution into a more continuous process. It positioned the tool as a way to make payroll operations more timely and consistent while keeping payroll teams involved in key decisions.

Frontline impact

"Pay day is the most important recurring moment for the frontline workforce. Not only is it often the single largest line item expense for an organization, but it is the foundation that the entire frontline employee experience is built upon. When pay is wrong, it hurts the business on multiple fronts," said Gretchen Alarcon, General Manager and Senior Vice President of Enterprise HCM Solutions, UKG.

The launch adds to a growing number of AI products aimed at routine business functions, not just customer-facing tasks. Payroll, with its structured data, repeated cycles, and high cost of error, has become a clear target for software suppliers applying AI to back-office operations.

For employers, the value proposition is straightforward: fewer payroll mistakes, less manual review, and faster resolution when something goes wrong. For workers, especially those in frontline and hourly roles, the practical test will be whether these systems lead to more accurate pay arriving on time.
